11 September 2009 - Chips Schools Receipting Module

Pastel demonstrates easy-to-use receipting module to schools -
Representatives of a number of schools from throughout Harare recently had demonstrated to them an accounting software package and receipting module that are ideal for schools, clubs and other organisations that collect money from students, members or customers

Most of the schools, which included Hatfield Primary, Churchill Boys’ High, Avondale Primary, Oriel Girls’ High, Budiriro 1 High, Glen View 3 Primary and Batanai Primary, are currently making out handwritten receipts.

Their representatives, however, found the Pastel Partner receipting module easy to use and understand. They seemed agreed that it would make their lives a lot easier.

The receipting module, which is an add-on module to Pastel Partner, allows the person taking the payment to enter on the computer details of the payment just once to process and print receipts without having to make any entries in the system’s cashbook. Once the user is ready the system automatically moves the receipts to the cashbook.

This means that the payment will automatically show up in the income statement at the time of receipting the payment, without any further entry having to be made.

Pastel Software Zimbabwe, which organised the demonstration for schools at a local hotel, is offering schools credit terms to make it easy for them to acquire the software.

Those that do not already have Pastel Partner installed on their computers can also purchase the package in phases. They can buy the basic package first, then an additional user and finally the receipting module.

They can also take advantage of a 20% discount that is currently being offered on the package, which enables them to go ahead and buy cover for the first 12 months. This means they will automatically receive any upgrades to the programme that occur during that period.

Pastel Software Zimbabwe managing director Rob Watson says it would be wise for schools to take advantage of the special terms that Pastel is offering them and automate their accounting and receipting processes.

“Writing receipts manually and doing all your bookkeeping by hand is an out-of-date and time consuming process which should only be continued by those who have no access to computers or electricity

“Even government schools have become virtual private schools, with School Development Associations running them largely from the proceeds of levies.

“SDA’s and parents require accurate financial reports. Using Pastel Partner, which is the preferred accounting software package used by many small businesses, makes the process easy

“With the receipting module, all you have to do is enter the receipt details and print the receipt to have the money paid show up immediately in the income statement. Nothing could be easier,” he said.

The receipting module is one of a number of add-on modules that Pastel Partner users can acquire, depending on the needs of their organisation.

One of the advantages for schools of the receipting module is that they do not need to buy an inventory module in order to utilise the receipting module, as they can just make use of receipts analysis codes.

Other add-on modules include cash manager, bank manager and multi currency modules. Particularly useful for business users, as their business grows, is the Business Intelligence Centre (BIC) module, which gives direct access to business critical information and allows one to design standard reporting templates in Excel and update these reports directly from Pastel.
